The 10-second site task that eats half your day

How a quick photo check turns into a site chase

Someone in the office needs a photo of the Level 2 toilet waterproofing before the tiler starts. Finding it should take 10 seconds. On most projects it takes until lunch.

You start by scrolling the project chat group. There are 400 messages since Monday. The photo might be in there, unlabelled, sent by someone who has since left the group. You give up and call the site supervisor. He calls the foreman. The foreman pulls a worker off his task to walk up, take a new photo and send it back. It’s the wrong toilet, so you start again.

Teams using Otus have cut photo retrieval time by 94% and recovered 60 to 90 admin hours a month. That’s close to two working weeks back every month, per team, without hiring anyone.

Set up site photo documentation on day 1

  1. Upload your plans. When a revision comes in, update it in Otus and everyone works off the latest set.

  2. Invite the whole project. Seats are unlimited per project, so foremen and subcontractors can join without anyone counting licences.

  3. Pin every photo to the plan. Each photo sits at its location with the direction it was taken, so nobody has to describe where it is.

  4. Talk instead of typing. Voice notes are transcribed in multiple languages and fill in the form for you. Workers can record in the language they’re most comfortable with.

  5. Raise issues and assign them to a person. The assignee can close it themselves once it’s fixed, and you see the closure without chasing.

Basements and cores with no signal aren’t a problem either. Otus captures offline and syncs when the phone reconnects.

What changes when photos are pinned to the plan

The skipped site trip and the worker who stays on his task are the savings you’ll notice first. The bigger one shows up over weeks: nobody has to remember which chat, which day or which person sent the photo. You search by author, by location on the plan, or by describing what’s in the picture, and you have it.

When the client asks for an update, you can create a PowerPoint or PDF report in under 5 minutes using the photos already pinned to the plan.
